Shepherd ChMS helps churches manage members, attendance, pastoral care, communication, giving records, events, and related ministry workflows. This policy explains how we collect, use, protect, and share information when churches and their authorised users use Shepherd.
Information we collect
We collect account information, church profile information, authorised user details, member and visitor records entered by a church, attendance records, care and follow-up notes, communication preferences, payment or billing metadata, and technical information such as device, browser, IP address, and usage logs.
How we use information
We use information to provide and secure Shepherd, support church administration, send church-approved communications, process subscriptions, improve the product, troubleshoot issues, prevent abuse, comply with law, and provide customer support.
WhatsApp and messaging
Shepherd may send WhatsApp, email, or other notifications on behalf of churches where the church has a lawful basis and the recipient has provided appropriate contact details or consent. Message delivery may be processed by providers such as Meta, Twilio, Resend, or similar service providers.
Sharing and subprocessors
We do not sell personal information. We share information only with service providers needed to operate Shepherd, with authorised church administrators, when required by law, or to protect the rights and safety of Shepherd, churches, members, and users.
Security and retention
We use technical and organisational safeguards designed to protect personal information. Churches control the data they enter into Shepherd, and we retain information as needed to provide the service, meet legal obligations, resolve disputes, maintain audit trails, and enforce agreements.
Your choices
Individuals may contact their church to update, correct, or request removal of church-managed records. You may also contact Shepherd for privacy questions or data deletion guidance.
